job summary:

Doozy Solutions is seeking a dependable, highly organized and proactive Administrative Assistant to join the Doozy team in Denver, Colorado.  This conscientious individual with a keen eye for detail and strong interpersonal skills will provide support to the organization’s Principals and the broader Doozy team.  Responsiveness and exceptional professionalism and a great sense of humor are a must as interaction with C-level executives and their staff, Board Members, and executive leadership is required on a regular basis.  In addition, ensuring administrative tasks are efficiently and effectively completed while managing multiple projects in a fast paced environment is essential.


The Administrative Assistant will work closely with and support the Principals and individual contributors across the Doozy team. Responsibilities include, but are not limited to:

  • Professional presence, poise, demeanor and a “concierge” approach to serving the Principals, employees and to candidates, partners, customers and prospects.

  • Advise Principals of pertinent issues, correspondence, internal and external messages requiring immediate attention, assisting in the delegation and prioritization of tasks as necessary.

  • Manage a complex executive calendar/schedule that includes scheduling internal meetings and local and international travel, group events, and booking conference rooms and external meetings as needed.

  • Oversee travel arrangements/itineraries and expense reporting for Principals of the organization.

  • Demonstrate professionalism, reliability and sound judgement when interacting with line of business executives and external partners on behalf of the Doozy team.

  • Anticipate executive’s requirements to help meet his/her goals and achieve company priorities.

  • Run internal administrative errands for the team as needed.

  • Manage Special Projects including onsite and offsite meetings, executive event attendance and planning.

  • Provide logistics and administrative support for key events and activities (i.e. tradeshows, product launches, media and influencer events, etc.).

  • Coordinate weekly or ad hoc in-house meetings and small events.

  • Work with accounting team to track and expedite the processing of POs, payments, SOWs, etc.

  • Oversee the management of office supplies and IT equipment, including kitchen snacks.

  • Keep office clean and tidy via established rules and enforcement.

  • Act as a liaison for conference room scheduling and team space allocation.

  • Complete special projects as assigned.

  • Discretion and ability to handle confidential information is a must.

  • 3+ years previous, relevant experience supporting executives preferably in a related field.

  • BA/BS or equivalent preferred

  • Advanced proficiency in GSuite tools, Microsoft Word, Excel, and PowerPoint.

  • Interest in Global Communications/Marketing and experience working in a PR, marketing, branding or related setting is a plus.

  • Knowledge of NetSuite is a plus.

Position is based in Denver, CO and will require working on-site at our HQ office location M-F.
